Patients have a right to their designated record set in a timely way. Clinics get into trouble when the request arrives as a voicemail, lives on a sticky note, and is fulfilled from whoever happens to be at the front desk.
A cleaner intake
Publish a personalized records-request form on your site. Capture identity checks, the format the patient wants, and where they want it sent. Route the completion alert to the privacy or records role, not a shared consumer mailbox.
A cleaner delivery
Send the packet through healthcare email or a secure file link, not a personal Gmail attach-and-hope. Log the send. If the patient asked for fax, use cloud fax with a confirmation, not the hallway machine.
HIPAA Companion forms, email, and fax are meant to be that path. The practice still decides what is in the designated record set. The software keeps the request and the delivery in a channel you can show later.
